******Unless specifically contracted, resumes from recruiting agencies are not being accepted for this position.****** We are currently seeking a Construction Administrator to be responsible for support to the Construction and Development Group on major projects in our Mid-Atlantic region, focusing on processing redevelopment and capital expenditures within the CTI job cost systems. The position requires communications both internally and externally with vendors, tenants and various departments within Kimco. Responsibilities will include review of documentation for compliance as well as collaboration among the teams as the work relates to leasing, legal and accounting within the region; gathering documentation and seeking reimbursements from tenants with respect to development projects; assisting in providing information on outstanding cost relating to projects slated for disposition; providing assistance to the Manger of Construction Administration.

 

Responsibilities will include:

  • Creating and distributing for signature construction/consultant contracts and change orders
  • Maintaining construction/consultant contract and change orders status database.
  • Reviewing, coding and processing invoices
  • Reviewing lien waivers for compliance and accuracy
  • Reviewing executed tenant Leases and creating associated system commitments for tenant allowances and commissions
  • Processing tenants allowance and leasing commission invoices
  • Maintaining tenant allowance/leasing commission tracking database
  • Filing contracts, change orders and general contractor billings
  • Referring vendors to RMIS (vendor qualification system) as necessary

Requirements

  • 5 years administrative experience in a fast paced environment
  • Experience in commercial real estate or construction
  • Bookkeeping and AP experience
  • Proficiency in MS Excel, Word, PowerPoint and Outlook, as well as the ability to learn other internal systems
  • Good organizational skills and ability to prioritize daily tasks and multi task
